Random Program vs Consortium

A common question is “should I use a random program or a consortium?”

When deciding on if you should put your company into a consortium or run a separate random program, there are two key components:

  • Size of the company
  • Client preference

Obviously if your client prefers one of the other, go with what they want. If they don’t have a preference we generally follow the rules:

Any client with 10 drivers or less be put into a consortium and any Company with more than 10 drivers be put into a random program.

  • Owner-operators are always in a consortium per DOT regulations
  • any client with 10 drivers or less is put into a consortium
  • any client with 11 drivers or more is in its own random program

In short, the process will consist of:

  1. Setting the client up as a customer in AIS and ordering a subaccount
  2. Creating a pool for the customer
    • Setting testing frequency
    • Setting testing rates
    • Setting alternate preferences
  3. Getting an updated employee roster from the client and uploading that into AIS
  4. Generating your first random pull and sending out authorization forms

To add an owner-operator or standard client to the Fastest Labs Consortium, simply follow these steps:

  • Have the new client sign the PandaDoc Template: Master DOT Consortium Agreement
    • (located in PandaDoc under Templates->Shared with Me)
  • Set the client up as a customer in AIS and order a subaccount
  • Conduct Pre-Employment Drug Test(s) if applicable:
    • Driver is a new employee
    • Driver has been deactivated from a random testing pool for over 30 days
  • Request an updated employee roster from the customer that includes:
    • First Name
    • Last Name
    • Employee ID
    • DL State
    • DL Number
    • Birthdate
    • Email
    • Phone Number
  • Upload the employee roster
  • Click Employee List Updated
  • Request Consortium Addition from Fastest Labs Home Office

Once all of these steps are completed, Fastest Labs will:

  • Send a Consortium Participation Report to you and the client
  • Alert the client at the beginning of the next quarter to update their roster and proceed with the random process
