Rapid Collection (Personal / Walk-In Clients)

1. Greet and Identify Test Type

  • Greet the walk-in client professionally.
  • Ask what test panel they need (e.g., 5-panel rapid).
  • Confirm the requested test type before beginning the process.

2. Complete Authorization Form

  • Request the client’s photo ID.
  • Provide a Personal Authorization Form for the client to complete.
  • At the top of the form, write:
    • The test name (e.g., “5 Panel Rapid UA”)
    • The price (e.g., $45)
  • Have the client fill out the remaining personal information sections.

3. Create Sales Receipt in QBO

  • Open QuickBooks Online (QBO) to create a sales receipt.
  • Enter the necessary information and confirm accuracy.
  • Ask if payment will be cash or card:
    • For card payments: use the card reader.
    • For cash payments: select “cash” on the sales receipt.
  • Once payment is processed, print two receipts (one for you and one for the client).

4. Confirm Readiness

  • Ask if the donor is ready to test or would like water before starting.
  • Offer water if needed.

5. Move to the Lab Area

  • Escort the donor to the lab/testing area.
  • Instruct the donor to empty their pockets and place all personal items (phone, keys, wallet, etc.) into a locker.
  • Have the donor wash their hands before starting the test.
    6. Set Up the Test on Tablet
  • On your tablet, locate your Walk-In Organization.
  • Select the appropriate test panel (e.g., 5 Panel Rapid).
  • Click “Start Test.”

7. Enter Donor Information

  • Scan the donor’s ID into the system.
  • Enter the donor’s phone number for MRO purposes (Medical Review Officer).
  • Review all entered information for accuracy.

8. Donor Consent

  • Have the donor sign the tablet to give consent to participate in testing.
  • Once signed, lock the locker containing their belongings.

9. Explain the Collection Rules

  • Show the donor the rapid test cup and specify the minimum amount (30 mL) required.
  • Keep the lid with you at all times.
  • Clearly explain the following:
    • Do not flush the toilet.
    • Do not wash hands until returning the sample.
    • The door may be closed for privacy.

10. Receive and Check Specimen

  • Put on gloves and accept the sample from the donor.
  • Tighten the lid on the cup securely.
  • Immediately check the temperature strip to ensure it’s within range.
  • If temperature is good, proceed to scan the cup.
  • If out of range or if the test must be canceled, follow Testing Protocol Form instructions for guidance.

11. Scan and Record Results

  • When results are ready(donor can see results):
    • If negative, click “Temp In Range” → “Sign & Send.”
    • If non-negative, follow the Testing Protocol Form for lab confirmation procedures.

12. Review and Release Donor

  • Since this is a paid walk-in test, you may show the donor their results.
  • Once reviewed, unlock the locker and allow the donor to retrieve their belongings.
  • Return their photo ID.
  • Ask if they would like a paper copy or email copy of their results:
    • If paper copy → print and email the results.
    • If email only → email the results directly.

13. File Documentation

  • File the authorization form and test results in the Walk-In Donor Folder for recordkeeping.
